Are tape based handheld recorders used for medical dictation HIPAA Compliant?
Does anyone know where I can get documentation on this? I have done many searches, gone to AHIMA, HIPAA.org and a few other places, but I can't seem to find anything adressing this. I understand that with tabe based recorders you cannot establish an Audit trail for records, and you allso cannot keep the voice files secure because people have to physically handle and transfer the cassette tapes. I really need HIPPA released info or something close to it to get my clinic physicians to switch to digital. Any ideas?
I don't think that the HIPAA laws would address specific methods of record keeping aside from the fact that they are secured and inaccessible outside of qualified individuals. The important thing is that the privacy concerns are met, and that can be done with either digital or analog media.
In fact, analog media stored on a physical cassette could be more secure than a digital recording stored on a network drive (of course if the digital media is stored on removable media then the situation would be the same as analog).
From a practical standpoint, I would convert the analog media into digital for ease of reference.
